Executive Assistant

Yes Mediate provides alternative dispute resolution services to individuals, companies, and communities throughout the United States and abroad. When local to Texas, our neutrals meet with parties in a secure conference setting with hybrid meeting capabilities. Our roster of highly qualified and experienced Mediators, Arbitrators, Ombudsmen, and Facilitators assist parties in exploring and creating mutually satisfactory resolutions to conflict.

Duties & Responsibilities:

  • Provide administrative assistance to the CEO, freeing her to focus on business development and operations
  • Maintain the chain of command
  • Schedule appointments, book and manage travel, and ensure clear communications
  • Compose, modify, and produce documents
  • Track team-generated work products
  • Produce, coordinated, and manage events
  • Maintain secure filing systems
  • Communicate with clients, staff members, and industry partners

Environment

-Will work in a hybrid environment (office & remote)

-Local Travel and commute required (Houston & Surrounding Areas)

-Domestic travel may be required 25% of the time

-International travel may be required 5% of the time

Qualifications

  • Posses an Associates or Bachelor's degree, or
  • 5+ years experience in demonstrated success as an Executive Assistant to a CEO or Military/Government Secretarial Admin or Executive Assistant
  • Working knowledge of the Alternative Dispute Resolution field is a plus
  • Must be able to operate the technology hardware and software necessary to perform assigned duties/responsibilities
  • Has excellent computer skills, particularly with MS Office products and Adobe
  • Has excellent writing, editing, communication, and organization skills
  • Is resourceful and independent; able to work quickly and effectively through multiple tasks from multiple sources with little to no supervision
  • Possess strong team skills and the ability to inspire others to action
  • Must maintain strict confidentiality and exercise discretion, sound judgement and decision making while handling sensitive documents (CRITICAL)
  • Is a proactive self-started with the ability to problem-solve and manage details
  • Has a thorough understanding of how to support a CEO in a growing business

Compensation

Salary will be commensurate with the experience of the applicant. Paid vacation days earned per pay period and performance-based bonuses may be offered.

  • Has excellent writing, editing, communication, and organizational skills
  • Is resourceful and independent; able to work quickly and effectively with multiple tasks from multiple sources with little to no supervision

  • Will work in a hybrid environment (office & remote)
  • Domestic travel may be required 10% of the time

Compensation

  • Conducting and managing the quality review of documents and publications
  • Editing and proofreading case determinations, editorial, marketing, and social media copy
  • Delivering timely, well-documented edits to managing partners
  • Collaborating with management to improve/enhance materials
  • Tracking and reporting all incoming and outgoing materials that are reviewed
  • Educating new hires on plain language and writing standards
  • Communicate with staff members and contractors
  • Performing other related duties as assigned

Qualifications

  • Possesses a Bachelors degree in English, Communications, or Media & Journalism
  • 5+ years experience in copyediting and/or sub-editing for both marketing and technical materials
  • Strong capacity for both logical and creative thinking
  • Mastery of AP Stylebook and MLA standards
  • Ability to multitask and work efficiently under deadlines
  • Ability to work with MS Word and Excel, Adobe Acrobat, InDesign and Photoshop, WordPress, Trello
  • Must maintain strict confidentiality and exercise discretion, sound judgement and decision making while handling sensitive documents (CRITICAL)
  • Must be able to operate technology hardware and software necessary to perform assigned duties/responsibilities.
  • Working knowledge of the Alternative Dispute Resolution field is a plus

Compensation

Pay range: $18 – $24 per hour (based upon experience)

  • Must maintain strict confidentiality and exercise discretion, sound judgement and decision making while handling sensitive documents (CRITICAL)

  • Entering data into various systems and databases accurately and timely
  • Inputting 150-300 claims per day depending on the volume
  • Managing database requirements
  • Retrieving and maintaining data files
  • Performing other related duties as assigned
